
Presenter Information

We will use the RingCentral platform to facilitate the hybrid Symposium. To do this, please send all presentation materials (whether you are presenting online or in person) to the LOC at least one week before the Symposium begins (26 October 2026). You may not use your personal laptop to present. If you do not submit the required materials, you will not be able to present at the Symposium.
- Dimensions: A0 (portrait), 84.1 cm/33.1 in wide × 118.9 cm/46.8 in tall
- The following materials (for ALL online and onsite posters) must be submitted to the LOC one week prior to the Symposium (PDF or PPT):
- 1 summary slide in PDF for poster blast (4:3 aspect ratio), [the same as below]
- 1 digital version in PDF for your actual poster (exact print version), to LOC 1 week before your presentation day through the form [link] here
- If there is a chance that you may not be able to present your poster live during the assigned slot (due to timezones, other commitments, etc.), you have the option to additionally submit a 2-min video recording of your poster blast in place of a live presentation (submitted through the same form above). This is not required for everyone.
- Participants presenting posters in person are responsible for printing and bringing their own physical poster to the Symposium, and will need to hang it up the morning of their flash talk day (poster boards will be labelled with the userID number).
- Here are some resources to help you design your poster:
- If you do not submit your presentation materials using the form above by the deadline, you will not be able to present a poster blast during the Symposium, and your poster materials will not be put on the online platform.
- Length:
- Plenary talks (20 min total): 15 min (talk) + 3 min (Q&A) + 2 min (transition)
- Contributed talks (15 min total): 10 min (talk) + 3 min (Q&A) + 2 min (transition)
- The chair will stop you if you are overtime; please stop on time
- The following materials (for ALL online and onsite presenters) must be submitted to the LOC one week prior to the Symposium (PDF or PPT)
- Presentation files in PowerPoint or PDF format.
- If there is a chance that you may not be able to present your poster live during the assigned slot (due to time zones, other commitments, etc.), you have the option to submit a video recording of your presentation in place of a live presentation (submitted through the same form above). This is not required for everyone.
- Note that you will NOT be able to use your personal laptop to present. If you do not submit your presentation materials using the form above by the deadline, you will not be able to present at the Symposium.
- Planning procedure/timeline:
- September: communicate logistical needs for in-person and online (particularly if your workshop is hybrid) support
- 2 weeks before the symposium: send all materials (PPT or PDF formats) to iaus409-contact@ml.nao.ac.jp
- 1 week before the symposium: facilitator in coordination with workshop presenters to discuss how to facilitate
- 2-3 days before the symposium: necessary announcements to participants regarding the workshop and preparation
