Levels of Engagement during the Symposium

Dear friends and colleagues,

For as many people as possible to have the opportunity to present their submitted works, here we would like to share with you the various forms of engagement during the Symposium.

Presentations @ Talks Sessions
Presentations will have a duration of 10min. followed by a 3min. questions and answers, with the audience. We strongly suggest that you adopt an inclusive presentation (both orally and regarding your visual media support). You can find a good reference here:

Presentations @Panels Sessions
Participants assigned to Panel Sessions will have the chance to present their submitted works in 8 min. presentations, followed by 20min. dialogue and open discussion, altogether with their peers, the audience and the Chair of the session. Presenters are encouraged not to display a visual presentation. The diversity of the works per session intends to generate a dynamic that promotes the intersectional nature of the Theme of the Panel Session.

Poster Sessions
Presenters will have the chance to make a 3min. presentation in two dedicated Poster Sessions (Poster Session 1 & 2) in the first day and third day of the symposium. No special presentation file is allowed at this oral presentation, and we will share the text of your poster online for better accessibility. The printed format is optional, as each poster will need to have digitally accessible content.
Posters will be on display during two full days and in a special Coffee Break dedicated to the Poster displays.

Notes for Poster Presenters:
1) We kindly ask all poster presenters to make a 3min. presentation in two dedicated Poster Sessions (Poster Session I & II) in the first day and third day of the symposium (no special presentation file is allowed at this oral presentation).
2) Printed format is optional (max. 841Width × 1189Height (mm)). Each poster will need to have a digitally accessible content (a text file, no PDF). We will share the text of your poster online for better accessibility. Please send it to the organization by November 5.
3) Posters will be on display during two full days and in two special 45min. long Coffee Breaks dedicated to the Poster displays.
4) Several poster presenters cannot travel to Japan for various reasons (e.g. mobility, financial, ecological, etc) if your timezone allows you to be connected online during the 45min. Poster & Coffee Break, please let us know so we can arrange with you the details of participation.

Safe Space @Parallel Session
We encourage participants to share with other participants their experiences, concerns and possible solutions, to continuing moving the field forward and fostering a unity of purpose. We firmly encourage for presenters to share their topics based on mutual respect for the dignity of all, demonstrating the vibrant energy of harmonic and respectful unity in diversity communication transcending ethnic, cultural, and linguistic barriers.

Sharing Spaces @Lunch Sessions & Parallel Sessions
We will host parallel sessions where participants bring specific topics for discussion with a particular scope of interest to the global astronomy community. We strongly encourage to submit panels for dialogue. We firmly encourage for presenters to share their topics based on mutual respect for the dignity of all, demonstrating the vibrant energy of harmonic and respectful unity in diversity communication transcending ethnic, cultural, and linguistic barriers.

We have made available the Program online here. Please carefully check if your presentation is assigned and let us know if you have any additional comments.
Your suggestions are paramount, as we continue forging a symposium created by the participants.

Dear friends and colleagues,

The date of the symposium is around the corner! As our team is happily making the preparations to warmly welcome you here at the NAOJ Mitaka Campus, we kindly encourage you to reach out to us with any queries or comments you might have (Email: iaus358contact@prcml.mtk.nao.ac.jp). We wish to create a safe, welcoming space for all, we are sharing some information that will, hopefully, help build a healthier environment where an exchange of ideas blooms among you.

Venue
The symposium will take place at the:
NAOJ Mitaka Campus, Address: 2-21-1 Osawa, Mitaka, Tokyo 181-8588, Japan
Find how to access the venue here.
Volunteers will be onsite to support the participants. Upon your arrival, please go to the Guard House, located at the entrance of the campus and request further support.

Available Facilities
A quiet room will be available for the participants in need. A prayer room and a breastfeeding room will also be available at all times. After your Registration onsite, please inquire at the Information Desk upon arrival to the venue for more information.

Sharing Space @Lunch Sessions
Participants can bring specific topics for discussion with a particular scope of interest to the global astronomy community. For these Sharing Spaces occurring at Lunch Time we recommend you to bring-your-own-lunch and embrace Bento (弁当 bentō), the traditional single-portion take-out or home-packed meal common in Japanese cuisine. Bento or bento-filling items can be purchased at convenience stores, grocery stores (such as those in train stations), and some restaurants.

Bring-your-own-mug policy
We encourage all participants to bring their own mugs for coffee, tea and water. We are trying to reduce waste associated with traditional coffee breaks. Please also consider bringing your own handkerchief (napkin) and/or small plate as well.

We are putting in our best effort to enthusiastically welcome you onto the NAOJ Mitaka campus, and we humbly apologize ahead for any possible mistakes during and after the symposium. We trust that you and us are working together for this symposium to be a stage where people are sovereigns. Please reach out to us with all your suggestions. The LOC and SOC look forward to use them to continue forging a symposium created by the participants.

Welcome to the IAU Symposium on Astronomy for Equity, Diversity and Inclusion

on October 01, 2019

Dear Friends and Colleagues,

We are now moving towards the symposium full speed ahead and in one month we will be welcoming you in Mitaka, Tokyo! During the upcoming weeks all participants please expect several new messages on our side regarding both the Program Participation and Local Logistics.

The submission of contributions outperformed our predictions, reaching 230 requests for participation. To focus on, and optimize dialogue, interactions, and exchanges, this symposium was initially proposed to accommodate 60 participants. The organization has worked non-stop for the past months to be able to accommodate all requests, given both to the high number of people interested in attending, but also in terms of supporting the presentation of the works. We are happy to announce that in November we will welcome 120 participants, building in Mitaka a place where everyone may communicate at their pace and as needed.

Dialogue Sessions & Sharing Space
We will host parallel sessions where you can bring specific topics for discussion with a particular scope of interest to the global astronomy community and we strongly encourage participants to submit subjects (e.g. panels) for dialogue. Please reach out to us if you’d like to submit.
*Representatives will be selected with approval by the SOC.

We encourage you to share your topics based on mutual respect for the dignity of all, demonstrating the vibrant energy of harmonic and respectful unity in diversity communication transcending ethnic, cultural, and linguistic barriers. Through this symposium, we aspire to engage fully with the community in an environment of harmony, equality and respect — this the path chosen by both LOC and SOC organisation towards this endeavour.

Having in our hands the honour of accommodating you in Mitaka, takes us to apologise ahead for any possible mistakes, during and after the symposium. We are working full steam! All the mistakes are unwitting. We count on you all, to kindly and respectfully make us aware of anything. We learn as we advance in this wonderful path and accommodating such a large diverse group is something we strongly want to honour.
